Job Description:
Summary:
This role will provide front office support to the organizaation as well as project support. This role is responsible for answering and directing telephone calls, providing first contact support to walk-in visitors, and greeets individuals in a courteous, knowledgeable and efficient manner. This role will also provide administrative and office support for various ongoing projects and initiatives.
Essential Functions:
- Operate multi-phone system in an efficient, buisness-like, friendly and effective manner, accurately routing calls.
- Provide business-like and friendly greeting, registration, badging and routing of lobby visitors
- Administer visitor training and non-disclousure agreements.
- Prepare inter-office and external mailing, as required. Prepare and distribute documents, memos, and reports. Order and maintain office suppies and equipment.
- Perform data entry into various systems and/or documents, files paperwork, and sends out communication to the organization as-needed.
- Track and maintain general records tied to employee locations, phone extension, and training
- Assist with travel arrangements and expense reports (experience in Concur preferred).
- Schedule appointments and meeetings and manage calendars.
- Set up catering for meetings.
- Manage the office space plan/map and seat assignments.
- Other duties as assigned.
Qualifications:
- High School Diploma or equivalent. May consider equivalent work expereince in lieu of education
- 2+ years of experience in an administrative support role
- 3+ years clearical and computer experience using Microsoft Office Suite
- Experience in operating complicated phone systems
